Privacy Policy
Effective October 26, 2026
This explains what information First Call Scan (firstcallscan.com), a trade name (DBA) of Luxe Concepts LLC ("we"), collects, why, who helps us process it, and what you can ask us to do with it. It covers every First Call Scan service: the Visibility Scan, Fix Pack and Monitor, social posts, the customer newsletter and contractor lead packs.
1. What we collect
- At checkout: your email and what each checkout asks for. Visibility Scan: business name, city and state, website. Social posts: company name, city and state, Facebook page link. Customer newsletter: business name and website, the software your customers are in, the address you want to send from, and your mobile number for reminder texts. Lead packs: your business name as homeowners should see it, the phone for lead texts, the email for lead alerts and your zip codes. Stripe also collects your name, billing details and card.
- Payment cards: Stripe handles all card payments. We never see or store your card number.
- Public business data: to build your report and your posts we collect what Google Search, Google Maps and ChatGPT show the public about your business and your competitors (rankings, reviews, ratings, photo counts, categories, hours, AI answers and the sites they cite). We get this through third-party data providers and by asking AI tools questions.
- Access you grant us: Manager access to your Google Business Profile (Fix Pack, Monitor and social posts), partner access to your Facebook page and Instagram in Meta Business Suite (social posts), and access to your domain's DNS settings and your sending account (newsletter). With it we can see what that access shows, such as your profile details, reviews and performance stats (reach, interactions, profile views and calls). We use it only to do the work you bought.
- Files and answers you send: the Fix Pack intake form (services, prices, towns, licenses, hours, photos, who to contact); photos, your logo and your onboarding answers (social posts); voice memos or typed answers (newsletter); your license number and response-time choice (lead packs).
- Your customer list (newsletter only): the names and email addresses of your past customers, which you send us. See section 4.
- Emails and texts you send us and our replies.
- Website use: our pages use the Meta pixel and cookies (see section 5), and our host keeps basic server logs (IP address, browser, pages visited).
2. How we use it
- To do the work you bought: run your scan and send your report and video; make your fixes; build, approve, schedule and report on your posts; write, send and report on your newsletter; deliver your leads by text and email, keep your lead sheet and send your weekly lead report.
- To email you about your order, and occasionally about our other services. You can unsubscribe from marketing emails any time; we'll still send emails about orders you've paid for. Newsletter customers who gave a mobile number get a monthly reminder text (reply STOP to end them); lead-pack customers get lead alerts by text.
- To answer questions, bill you, handle refunds and keep records the law requires.
- To measure which ads bring customers and to improve the service.
3. Your photos and reviews
We use your photos, logo and public reviews only to make your own posts, report and newsletter. We don't use them for anyone else, and we don't show your work as an example without your written permission. We don't repost your profile photos unless you ask us to.
4. Your customers' information (newsletter)
- We use your customer list only to send your newsletter. We never sell it, share it, or email it for anyone else.
- It lives in a sending account in your business's name, which you control and keep if you cancel.
- Our own list files are kept only as long as needed for setup and monthly upkeep, and deleted within 30 days after you cancel.
5. Meta pixel and cookies
Our pages use the Meta pixel, a small piece of code from Meta (Facebook and Instagram). It sets cookies and tells Meta when someone visits our pages or buys, so we can see which ads work and show our ads to people likely to be interested. When you buy, we may also send Meta your purchase and a scrambled (hashed) version of your email through Meta's Conversions API to match it to an ad.
If your browser sends a Global Privacy Control signal, our pages don't load the Meta pixel. You can also limit this through your Meta ad preferences or by blocking third-party cookies in your browser.
6. Selling and sharing
We don't sell your personal information for money, we don't rent our customer list to anyone, and we don't sell or share your customers' information.
The Meta pixel and Conversions API (section 5) may count as "sharing" your personal information for targeted advertising under California law (CCPA/CPRA) and similar state laws. You can opt out of that sharing at any time: use our Do Not Sell or Share My Personal Information page, or email support@firstcallscan.com with "Do not share" in the subject. A Global Privacy Control signal works too (section 5).
7. Who processes it for us
We use a small number of service providers. They process data on our behalf to provide their service to us, and only get what they need for that step:
- Stripe: payments, receipts and subscriptions.
- Resend (email sending): sending your report, lead alerts and our emails.
- Our email forwarding and inbox providers: receiving the emails you send to support@firstcallscan.com.
- Twilio: text messages (lead alerts, newsletter reminders).
- DataForSEO: collecting public Google Search and Google Maps results, reviews and Google profile data, and the ChatGPT answers, for your scan and your posts.
- OpenAI (ChatGPT answers, via our data provider) and Anthropic (Claude): answering the homeowner questions in your scan, and helping us draft text such as profile descriptions, review replies, FAQ pages, schema, post captions and newsletter issues. We send only what's needed for the task, such as your business name, services and public reviews.
- FAL: image generation for your post designs. ElevenLabs: turning your newsletter voice memo into text.
- Your newsletter sending account (MailerLite, Brevo or the tool you already use): opened in your name and paid by you.
- Netlify Forms: intake and upload forms. Google Drive or Dropbox: photo uploads. Loom: your scan walkthrough video. Netlify: hosts this website.
- Meta: ad measurement (section 5).
We may also share information if the law requires it, or with a buyer if our business is ever sold (they'd be bound by this policy).
8. How long we keep it
- Order and payment records: 7 years, for tax and accounting law.
- Scan reports and scan data: 24 months after your last order or Monitor month, so we can compare before and after.
- Fix Pack intake answers and photos: until 12 months after your last order or Monitor month.
- Social posts customers: while you're a customer, and up to 24 months after you cancel for records, unless you ask us to delete it sooner. Your published posts stay on your own pages unless you remove them.
- Newsletter customer lists: deleted within 30 days after you cancel (section 4).
- Lead packs: the record of each lead we delivered and the homeowner's consent, for at least 5 years (lead terms section 8). Your copy of your lead sheet is yours to keep or delete.
- Account access (Google, Meta, DNS): until you remove us. We ask you to remove it when the work ends, and remove ourselves within 7 days of a social plan ending.
9. Deleting or getting a copy of your data
Email support@firstcallscan.com to ask for a copy of your data, a correction or deletion. We'll reply within 30 days. We may need to keep some records the law requires (like payment records), and we'll tell you if so. You can also remove our access to your Google profile, Facebook or Instagram at any time, and unsubscribe from non-essential emails with the link in any email.
10. Your privacy rights
Depending on where you live, including California and several other US states, you may have the right to know what personal information we hold about you, to get a copy, to correct it, to delete it, and to opt out of the sale or sharing of your personal information for targeted advertising (see section 6). We honour these for all customers, and we won't treat you differently for using them. To use them, email support@firstcallscan.com. We may need to confirm it's you first.
11. Security
We use reputable providers, keep access to your data limited to the people doing your work, and never ask for your Google or Facebook password. No system is perfectly secure, but we take reasonable steps to protect your data.
12. Children
Our services are for businesses. We don't knowingly collect information from anyone under 18.
13. Homeowners
This policy is for business owners who use First Call Scan and visitors to firstcallscan.com. If you're a homeowner who asked for a quote through one of our local lead pages, that page's own privacy policy applies.
14. Changes
If we change this policy we'll update the date at the top, and email customers about any big change.
